QD Terminal Setup and Operations Guide
This comprehensive tutorial will guide you through setting up and using your Dejavoo QD terminal for payment processing.
Getting Started
Unboxing the Dejavoo QD
Your QD device includes the following components:
- QD4 terminal
- Power adapter
- USB power cable
- Connector box (used for ethernet purposes)
- Connector box adaptor
Make sure all components are included before proceeding with setup.
Powering On Your Device
- Connect the USB power cable to the power adaptor and plug it into an outlet.
- If QD2, plug the other end into the terminal.
- Press and hold the power button on the left-hand side of the terminal to power on.
The device should boot up and display the home screen when ready.
Connectivity Setup
Connecting to WiFi
- From the device's home screen, click on the Settings icon in the top left-hand corner.
- Select WLAN.
- Click your desired Wifi network name.
- If prompted, enter the password for the Wi-Fi network and press Connect.
- If you are using an integrated terminal, both devices must be connected to the same WiFi network.
- Your network should now show CONNECTED once completed.
Note: Ensure you have a stable internet connection for payment processing.
Connecting to Ethernet
- Connect the provided base port to the QD terminal.
- Connect the ethernet cable to the base port.
- Connect the opposite end of the ethernet cord to your router or wired ethernet outlet.
Ethernet provides a more stable connection compared to WiFi for high-volume transactions.
Device Configuration
Loading Receipt Paper
- Receipt paper will be loaded at the top of the device.
- Locate the indents on the side of the machine and open the door/flap to insert the paper roll.
- Insert your receipt roll with the top portion facing up.
- Close the door with some of the paper hanging out of the device.
Testing the Paper Installation
To ensure that the paper is loaded correctly, run a printing test:
- On the home screen, select the Settings icon.
- Click on the Self-Check icon.
- Click the Printer icon.
- If entered properly, the receipt will print with ink. If the paper prints blank, flip the roll around and test again.
Setting Date, Time, and Time Zone
- On the home screen, select the Settings icon.
- Select the three horizontal bars on the top right-hand corner.
- Select Date and Time.
Automatic Setup (Recommended)
For automatic date and time updates, ensure automatic date, time, and time zones are turned on by clicking the toggle button on the bottom to the right.
Manual Setup
For manual date and time updates:
- Toggle off automatic date and time and automatic time zone
- Select Set Date and Set Time
- Select Time Zone and choose your preferred time zone
Transaction Processing
Running a Test Transaction
For Non-Integrated Terminals
- Pull up the Aura app on the terminal's home screen.
- Tap the screen and select Credit or Debit.
- Select Sale.
- Insert the Sale Amount.
- Insert, Swipe, or Tap the desired test card.
- If successful, the device will say Approved and the receipt will be printed.
Use test cards to verify everything is working before processing real transactions.
Voiding a Transaction
- Pull up the Aura app on the terminal's home screen.
- Tap the three horizontal lines symbol.
- Select Favorites.
- Select Void Transaction.
Void Options
From here, there are several options for voiding transactions:
- Last Transaction - will void the last transaction taken on the terminal
- By Transaction # - will void a specific transaction number (found on the original receipt)
- View All - allows you to view all open transactions available to be voided
- If prompted, insert the manager password (default is 1234) and press OK.
- Confirm the desired transaction to void is correct and select OK.
- If successful, the terminal flashes an approval response and prints a receipt.
Performing a Refund
- Pull up the Aura app on the terminal's home screen.
- Tap Credit or Debit.
- Tap Return.
- Insert the desired refund amount.
- Press OK.
- Tap, Insert, Swipe the card, or enter the full card number by selecting the three horizontal bars icon.
- If successful, the terminal flashes an approval response and prints a receipt.
Important: Refunds typically process within 3-5 business days depending on the customer's bank.
Reporting and Analytics
Accessing Transaction Reports
- Pull up the Aura app on the terminal's home screen.
- Tap the three horizontal bars icon.
- If prompted, insert the manager password (default is 1234) and press OK.
- Select Applications.
- Select Credit/Debit/EBT.
- Select Reports.
Available Report Types
- Daily Report - prints a brief overview of the day's transactions
- Summary Report - includes a high-level summary of the day's transactions and summaries of transaction types (voids, sales, returns)
- Detailed Report - includes core details from every transaction, including last four card numbers and transaction times
- History Report - allows you to print a summary of a specific day's transactions
- Report Generator - create custom reports based on your specific criteria
- Custom Reports - access previously saved custom reports created with the report generator
Use these reports for daily reconciliation and business analytics.
