Enrollment Page

Track and manage all merchants in the enrollment process from a single portfolio view in Stax Connect.

The Enrollment page in Stax Connect gives you a portfolio view of every merchant in the enrollment process. Instead of checking each merchant individually, you can see where every application sits, what needs to happen next, and who needs to act — all from one screen.

To access the Enrollment page, click Enrollment in the left navigation menu of Stax Connect.

The Enrollment page requires the enrollment permission in Stax Connect.

Stage Funnel

At the top of the page, the stage funnel shows how many merchants are in each stage of the enrollment process:

In progressThe merchant has started the application but has not completed or submitted it.
In reviewThe application has been submitted and is being reviewed by the Stax underwriting team.
PendedThe underwriter has reviewed the application and needs additional information or documentation from the merchant.
ApprovedThe application has been fully approved. This tile shows recently approved merchants.
DeclinedThe application has been declined. Declined sits outside the main funnel as a separate indicator.

Click any stage tile to filter the merchant list to only that stage. Click the same tile again to clear the filter and show all merchants.

Ownership Filter

The ownership filter lets you narrow the list by who needs to act next:

  • Your move: Applications where the merchant or partner needs to take action (e.g., completing the application or uploading requested documents).
  • With Stax: Applications where Stax is reviewing or processing.
  • All: Shows every merchant in the enrollment process regardless of who needs to act.

Selecting an ownership filter clears any active stage filter, and vice versa, so the two filters do not compound.

Merchant List

The merchant list displays all merchants matching the active filters, sorted by application age with the oldest first. Each row shows:

  • Merchant: The company name and merchant ID.
  • Stage: The current enrollment stage displayed as a status pill.
  • Reason: Substatus chips indicating why an application is pended or any conditions on an approval (e.g., TIN Mismatch, Banking Verification).
  • What happens next: A short description of the next action required and who is responsible.
  • Age: The number of days since the application was created.

Click any row to open the detail drawer for that merchant.

Detail Drawer

The detail drawer provides a deeper look at a single merchant's application. It includes:

Progress Timeline

A four-step timeline showing how far the application has progressed:

  1. Merchant added — The merchant record has been created.
  2. Application started — The merchant has begun filling out the application.
  3. In review — The application has been submitted and is with underwriting.
  4. Approved — The application has been fully approved.

Outstanding Documents

If the application is pended, this section lists the documents still needed. Each item shows:

  • The document name (e.g., SS4 or 147c3, Void Check or Signed Bank Letter).
  • Where the request originated (Auto, Brand, or Required).
  • A plain-language explanation of why the document is needed, when available.

When nothing is outstanding, a message confirms that underwriting will reach out if anything else is needed.

Underwriting Note

If an underwriting note is present and you have the required permissions, the note from the underwriting team is displayed. This is the same note visible on the merchant's Business Info page.

Actions

The drawer provides quick actions to help move the application forward:

  • Request documents: Sends an email to the applicant directing them to the document upload screen. This button appears only when documents are outstanding.
  • Send application link: Sends a magic link email to the applicant so they can resume their application.
  • Copy link: Copies the application magic link to your clipboard for sharing manually.

The Send and Request actions require a user to be associated with the merchant application. If the merchant was created through the API without an attached user, these actions are unavailable and the Copy link action can be used instead.
